Proposal Guidelines

See below guidelines to develop a proposal for a CoP.

State the targeted audience, purpose, and broad outcomes of the proposed CoP.

List who will be facilitating the proposed CoP.

Identify broad activities, include a draft schedule, proposed workspace for the CoP. Consider developing a schedule similar to this resource.

Indicate whether you wish to pilot the CoP first before launch. Identify initial participants to be invited to the CoP (for the pilot or launch).

State how community members are encouraged to actively participate and grow the knowledge base of the CoP.

Propose methods to gather results and reflect shifts in practice of participants.

KPU Approved Technology Tools to build CoP Workspaces

The following KPU approved technology tools can be used to create a workspace to host a CoP.
ProsCons

  • Access can be restricted to participants of the community
  • Has an arsenal of tools to create multiple activities in a CoP
  • Access limited if desired to extend the CoP to the public/broader community
  • Community members not familiar with Moodle may find it challenging to contribute

There are two Moodle servers suitable for CoP. Which Moodle server should I use?

Moodle ShareIf participants external to KPU is expected to join – The Moodle site will be created @ https://share.moodle.kpu.ca/
Moodle CommunityIf the CoP is only limited to the internal KPU community – The Moodle site will be created @ https://community.moodle.kpu.ca

How to request a Moodle course for CoP workspace?

Send a request via IT/TL support portal. Indicate which Moodle server you require the shell to be created.

  • Access open to a wider internal or external community
  • Themes in Word Press offer multiple organizational formats
  • Word Press is more mobile responsive
If not familiar, the learning curve to set up the workspace for the facilitators can be steep

  • Includes functionalities that can support multiple activities for a CoP
  • Relatively easy process to set up the workspace for facilitators
  • Access can be restricted to participants of the community
  • Functionalities for collaboration is limited.
  • Community members who do not have a Pebble Pad account will not be able to contribute towards activities.

Guidelines to Develop a Workspace for a CoP

CoP Workspace as Part of a Resource
It is ideal if the workspace is a part of a resource that is created around the core theme/topic related to the CoP. If this is the case, create a sperate page/tab for the CoP workspace in this resource. If the CoP is promoted via the Teaching and Learning Commons, this page/tab can be linked to the Commons CoP Page.

​​​​​​​Here are some considerations as you build the workspace for the CoP.

The following are proposed to be included in the landing page of the CoP:

  • The territorial acknowledgement statement
  • A brief statement of the purpose and the expected outcomes of the CoP 
  • Provide a tentative schedule and themes that are proposed to be discussed 
  • The modality (Online, Blended, In-Person) for community members to engage with each other.
  • Contact information of the facilitators if the community is open for new members

For each meeting, create a page/tab with required activities, resources and a collaborative space as required (for online workspaces)

Provide a space for community members to upload resources.

Provide a space for community members to leave feedback, ask follow up questions.
